Phone Case Fulfillment: A China Warehouse SKU-Check Scenario

Two phone cases can look almost identical in a supplier photograph while fitting different devices. Add several colors and packaging versions, and a simple product becomes a demanding receiving task. A carton marked with a collection name does not necessarily tell a picker which customer order it can fulfill.

Consider a DTC accessories store bringing several phone-case variants into a China warehouse. Its objective is to make product identity clear before orders enter the packing queue. The following is a proposed workflow to discuss with Fulnexa, not an account of a completed client project.

The challenge: small differences with large consequences

The store's product names may use customer-friendly collection labels while the supplier uses internal model codes. Some cartons may group colors together. A label could be legible but point to an outdated SKU mapping.

A count-only receiving check would not resolve all these issues. Equally, describing a basic warehouse check as full product testing would overstate what was performed. The useful starting point is to agree exactly which distinctions the receiving team must verify.

Build a usable SKU reference

For each variant, the brand would provide a unique SKU, supported device model, color reference, packaging version, supplier reference, and clear identifying images. Any physical fit check would need an agreed method and suitable reference equipment; it should not be assumed from a visual inspection.

The inbound plan would state whether checks apply to cartons, a defined sample, or every unit. It would also identify acceptable label formats and the action to take when the product cannot be confidently matched. This information should exist before stock is delivered.

Separate uncertainty from sellable inventory

Under the proposed workflow, unclear variants would be held for clarification instead of being assigned to the closest-looking SKU. The discrepancy record would include the relevant purchase or delivery reference and the evidence required by the agreed inspection scope.

The brand could then approve relabeling, further checks, supplier return, or another documented action. Only confirmed inventory would enter the sellable pool. A new supplier shipment would retain its own identity so that an issue can be traced to the correct inbound record.

Test the order mapping as well as the product label

A warehouse can identify a product correctly and still receive an order mapped to the wrong variant. Before a pilot, representative test orders should therefore cover similar models, different colors, a multi-item order, and an unavailable item.

The order intake method would need to be confirmed for the store. The test should establish whether the received SKU, warehouse identity, and expected packout agree. It should not rely on an assumed native integration or a promise of automatic compatibility.

What success would need to mean

The operational objective is a clear decision for each received variant: identified and released, or held with an owner and next action. Actual receiving discrepancies, relabeling work, and order exceptions would provide the evidence for judging a pilot. No error-reduction percentage is assumed here.
